Using the enhanced e-mail alert function

What is the benefit?

The e-mail alert function allows the printer to send an e-mail to a nominated person when there is a problem.

Now the Brother printer offers improved e-mail alert features which further enhances this feature.

In the past a printer would send an e-mail as soon as the printer ran out of paper. Since the release of the HL-7050N printer, the printer can send an e-mail as soon as the printer runs out of paper, but more importantly, it can be configured to send an e-mail if the printer remains in that error state for a number of minutes, or if the printer goes into that error state over a number of times.

To configure the e-mail alert feature, use either the Web BRAdmin software or connect to the embedded web server built into the printer.

How does it work?

1. Using the Web BRAdmin software to configure e-mail alerts

  1. Start the Web BRAdmin server software and double click the appropriate printer.

    A screen similar to the following is displayed:
  1. Click the "Network Configuration" button to display the following screen:

  2. Click the "POP3/SMTP" button.
  1. Specify the IP address configuration for your mail server.

    To send an e-mail you do not need to configure any POP3 parameters. Simply configure the "SMTP Server Address" and "Printer E-mail Address" settings and then click the "Submit" button.
  1. Click the "Notification 1" button to display a screen similar to the one shown:

  2. You must also specify how the error should be dealt with. In the example show here we have specified several different things:

a. only send an e-mail if the printer remains in a Cover Open state for 10 minutes or more.
b. only send an e-mail if the printer remains in a Paper Jam state for 10 minutes of more.
c. always send a Toner Low error message as soon as the printer goes into this state.
d. always send a Toner Empty error message as soon as the printer goes into this state.
e. never send a Non-critical consumable warning.
f. always send a Critical consumable warning.
g. never send a Consumable Warning.
h. never send a Consumable error.
i. never send a Change Drum error.
j. always send a mail message if the printer has a memory problem.
k. only send an e-mail if the printer remains in a paper input error state for more that 45 minutes.
l. only send an e-mail if the printer remains in a paper output error state for more that 45 minutes.
m. always send an installation error message.
n. always send an e-mail for any hardware/mechanical errors.
o. always send an e-mail for any other miscellaneous errors that may occur.

  1. When you have finished configuring your settings, click the submit button at the bottom of the screen.

    The printer is now configured.
